Rooms & Locations

Manage Rooms and Other Locations in the School

Rooms and other locations are used in SchoolFront as the destination for courses (or sections of courses) and as the destination for students completing disciplinary consequences. Before a course can be scheduled in a room/location or a consequence (like detention, for example) can be scheduled in a room/location, the room/location must be added to the system.

Step-by-Step Instructions

Define Important Room Features in the System

Rooms sometimes have features that are critical for scheduling. For instance you cannot run a computer class in a room without a suitable number of computers to accommodate the students taking the class. Features of importance vary from school to school. Here are some more examples of room features you may wish to track:

  • White Board
  • Projector Screen
  • Air Conditioning
  • Laboratory Equipment
  • Computer Lab
  • Outlets Less Than X
  • Bulletin Board
  • Projector
  • Teacher Computer

To add features to the system for tracking:

1. Login as an administrator.

2. Go to Feature Administration using the left navigation menu.

3. In the School Information section, click Room Features.

4. Add room features to the system.

Add a New Room / Location to the System


1. Login as an administrator.

2. Go to Feature Administration using the left navigation menu.

3. In the School Information section, click Rooms (note that this can be used to add any location--like the gym, infirmary, or soccer field--not just a room).

4. Click New Room. The new room form will open.

5. Fill in the information:

Field Description
Room Enter the name of the room. For example "Infirmary," or "204," or "SE-100."
Room Description Describe the room. If it has a projector, is a lab with certain facilities like an eye-wash, or has some other notable attribute you can note it.
Student Seating What is the maximum number of students that can be put in the room--note that the system will not prevent you from over-booking the room, but it will warn you that a room is booked beyond the maximum entered here.
Available For Courses If you want to be able to schedule courses in this room / location check this checkbox. If you do not, leave it blank.
Available For Discipline If you want to be able to schedule disciplinary consequences (e.g. detention, or Saturday School) in this room / location check this checkbox. If you do not, leave it blank.


6. Click the Insert button.

Enable an Existing Room / Location for Course Scheduling

If you know the room or location you need is already in the system but it is not appearing in the room drop-down when you try to schedule a course (or course section), you probably need to enable the location for course scheduling:

1. Login as an administrator.

2. Go to Feature Administration using the left navigation menu.

3. In the School Information section, click Rooms (note that this can be used to add any location--like the gym, infirmary, or soccer field--not just a room).

4. Find the Room/Location in the list. If it is not there, you will need to add it.

5. Click the Room/Location to view it.

6. Click the edit (pencil) icon.

7. Check the Available for Courses checkbox.

8. Click the save button. This location will not be available in the drop-down menu when you schedule courses and sections of courses.

Enable an Existing Room / Location for Discipline Consequence Scheduling

If you know the room or location you need is already in the system but it is not appearing in the room drop-down when you try to schedule a discipline consequence, you probably need to enable the location for course scheduling:

4. Find the Room/Location in the list. If it is not there, you will need to add it.

5. Click the Room/Location to view it.

6. Click the edit (pencil) icon.

7. Check the Available for Discipline checkbox.

8. Click the save button. This location will not be available in the drop-down menu when you schedule disciplinary consequences.
