Evaluating Your Employees

Setup State / SLO (NY State)

  1. Navigate to Staff Evaluations > Staff Evaluations – Not Finished.
  2. Select an evaluation from the grid.
  3. Click on the State/SLO Tab.

Select Courses Based on NYS Guidelines

The NYS guidelines state that at least 50% of the total eligible enrollment must be selected.  The automated selection process starts with the course with the largest number of eligible students.  The sections for that course become selected.  If that course enrollment does not meet the 50% minimum, the sections for the next largest course are selected.  The process repeats until the 50% minimum is met.

If there are multiple courses with the exact same enrollment and one or more is required to meet the 50% minimum, then all are selected, even if all of the courses are not required to exceed the 50% minimum.

To have the system select courses based on the NYS guidelines:

  1. Select Calculate SLO Courses.

Local Measure

  1. Navigate to Staff Evaluations > Staff Evaluations – Not Finished.
  2. Select an evaluation from the grid.
  3. Click on the Local Measure Tab.

Include a Course Section

To select a course:

  1. Click on the Pencil icon next to the section you would like to include.
  2. Check Include in Assessment and optionally enter a note.

Exclude Students from a Section

To optionally exclude students from a selected course:

  1. Select the enrollment icon.
  2. Select an exclusion reason and enter a comment.
  3. Click the save button at the bottom to commit your changes.

You should see the course section tab update to reflect your changes.

Specify Target Scores

To specify targets scores for a selected course section:

  1. Select the enrollment icon.

To give all students to the same target score:

  1. Enter a value in the single target text box.
  2. Click the Update All button immediately to the right.

To change all students to the target defined in a student target table:

  1. Select the student target table from the drop down labeled Assessment Student Target.
  2. Click Update All button immediately to the right off the drop-down.

To change a single student’s target:

  1. Enter a value in the text box located in the Target column.
  2. Click the save button at the bottom of the grid to update.

Staff Reflection

Enable Comments

Before staff reflection can be added, the Staff Evaluation Status must be “Pending Staff Reflection” or Comments must be enabled for the evaluation group.

Enable for All Group Members (This can only be completed by an Evaluation Administrator)
  1. Select the Evaluation Group.
  2. Click the edit link.
  3. Check the Enable Comments check-box.
  4. Save the changes.

Evaluees and evaluators in that group will automatically receive an email reminder.  They will only be able to save drafts until the scores are marked as completed for the evaluation.

Enable for a Single Evaluation
  1. Navigate to Staff Evaluations > Staff Evaluations – Not Finished.
  2. Select the Details tab.
  3. Click Lock/Unlock link.
  4. Select the Scores Completed check-mark to change the status to Pending Staff Reflection.
  5. Click Save.

The evaluee will receive an email reminder.  The evaluee can now lock their reflection in addition to saving a draft.

Evaluator Comments

Before evaluator comments can be added, the Staff Evaluation Status must be “Pending Evaluator Comments” or Comments must be enabled for the evaluation group.

Enable for All Group Members

  1. Navigate to Staff Evaluations -> Evaluation Groups.
  2. Select the Evaluation Group.
  3. Click the edit link on the details tab.
  4. Check the Enable Comments check-box.
  5. Save the changes.

Evaluees and evaluators in that group will automatically receive an email reminder.  They will only be able to save drafts until the scores are marked as completed for the evaluation.

Change Evaluation Status to “Pending Evaluator Comments”

Before evaluator comments can be added, the Staff Evaluation Status must be “Pending Evaluator Reflection.”  This is triggered when the evaluee saves and locks their reflection.

Add/Edit “Pending Evaluator Comments”

  1. Navigate to Staff Evaluations > Staff Evaluations – Not Finished.
  2. Select the evaluation from the grid.
  3. Click on the Staff Reflection tab.
  4. Enter Comments.
  5. Save
    1. Save a Draft or
    2. Save and Lock the comments when complete. Save and lock is only available when the status is pending Evaluator Comments.  The status will then become “Pending Evaluator Signature.”
